Cotech is committed to ensuring the safety and well-being of all children, youth, vulnerable individuals, and staff involved in our programs. We uphold the highest standards of safeguarding, fostering an environment where everyone is protected from harm, abuse, and neglect, whether physical, emotional, or digital. Our policies align with international NGO standards, including UNICEF and UK charity guidelines, to promote a culture of safety, accountability, and respect.
Purpose
This policy articulates Cotech’s commitment to safeguarding and provides guidance to staff, partners, volunteers, and stakeholders to prevent harm and respond effectively to safeguarding concerns within our physical and digital programs. It aims to ensure a safe environment conducive to empowerment, learning, and community development.
Scope
This policy applies to all staff, volunteers, partners, contractors, and stakeholders engaged in Cotech activities, both in Kenya and internationally. It covers all physical locations, digital platforms, and program activities involving children, youth, and vulnerable populations.
Definitions
Safeguarding: The policies and procedures to protect individuals from harm, abuse, and exploitation.
Child: Any person under the age of 18.
Vulnerable Individual: A person who may be at increased risk of harm due to age, disability, or social circumstances.
Digital Safeguarding: Protecting individuals from harm and abuse via digital platforms and online interactions.

Safer Recruitment
Cotech commits to rigorous recruitment practices, including background checks, reference verification, and safeguarding interviews, to ensure that staff and volunteers are suitable to work with children, youth, and vulnerable individuals.
Safeguarding in Programs
All program activities are designed and implemented following safeguarding principles, including risk assessments, child/youth participation, and supervision standards to prevent harm during both physical and digital engagement.
Digital Safeguarding
Cotech ensures safe use of digital platforms by implementing secure communication channels, monitoring online interactions, and providing digital safety training to staff, volunteers, and program participants.

Response Procedure
Cotech will respond promptly and appropriately to safeguarding concerns, ensuring the safety of individuals and investigating allegations in line with local laws and best practices. All investigations are documented and handled with confidentiality.
Confidentiality & Data Protection
All safeguarding information will be handled confidentially, shared only with relevant personnel, and stored securely. Cotech complies with data protection laws and best practices to safeguard personal information.
Partnerships
Cotech expects all partners and collaborators to adhere to safeguarding standards and to sign safeguarding agreements where applicable. Regular assessments and capacity building are conducted.
Training & Awareness
Regular safeguarding training sessions are provided to staff, volunteers, and partners to build awareness, understanding, and capacity to prevent and respond to safeguarding issues.
Monitoring & Compliance
Cotech conducts internal audits and monitoring to ensure safeguarding policies are implemented effectively. Non-compliance is addressed through corrective actions.
Policy Review
This safeguarding policy is reviewed annually or following significant incidents or organizational changes. Updates are communicated to all stakeholders.
